The Opportunity

The Administrative Assistant provides high-level administrative and operational support to C-suite. This role is responsible for managing schedules, coordinating communications, and supporting day-to-day administrative functions to ensure efficient executive operations.

 

The position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced work environment. The Administrative Assistant works closely with cross-functional teams, including sales, operations, procurement, and finance, to facilitate effective communication and coordination.

 

What You’ll Lead

Executive Support

  • Manage complex calendars for C-suite, including scheduling meetings, prioritizing appointments, and resolving scheduling conflicts.
  • Coordinate internal and external meetings, including preparing agendas, materials, and follow-up action items.
  • Screen and prioritize incoming communications, including emails, phone calls, and requests for meetings.
  • Draft, edit, and format professional correspondence, reports, and presentations on behalf of executives.

Administrative Coordination

  • Organize and maintain files, records, and documentation, ensuring accuracy and confidentiality.
  • Coordinate travel arrangements, including flights, accommodation, and itineraries.
  • Process expense reports and maintain supporting documentation in accordance with company policies.
  • Support planning and logistics for meetings, events, and company initiatives.

Operations Support

  • Assist in coordinating communication between executive leadership and operational teams, including warehouse, production, and procurement.
  • Track key action items, deadlines, and follow-ups to support operational execution.
  • Prepare basic reports, summaries, and data tracking documents as requested.

Communication & Cross-Functional Support

  • Serve as a primary point of contact for executives, candidates, employees, and internal/external stakeholders, ensuring clear, timely, and professional communication.
  • Facilitate coordination across departments to support alignment and execution of priorities, respond to candidate inquiries regarding the application and interview process, and assist employees with routine questions by directing them to appropriate resources.
  • Maintain a high level of professionalism and discretion when handling sensitive information.

What We’re Looking For

Education:

  • High school diploma or equivalent required
  • Associate’s or Bachelor’s degree in Business Administration or related field preferred

Experience:

  • 2–5 years of administrative or executive support experience
  • Bilingual in English and Spanish required, with the ability to communicate effectively
  • Experience supporting senior leadership (CEO, EVP, or similar level) preferred
  • Experience in a Consumer-Packaged Goods (CPG), food manufacturing, or operations-driven environment is a plus

 

Technical Skills:

  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Experience with calendar management and scheduling tools
  • Strong organizational and time management skills
  • Excellent written and verbal communication skills

 

Work Environment

This position operates in an office environment within a Consumer Packaged Goods (CPG), food manufacturing organization, with occasional interaction in warehouse or production settings. The role may require coordination across multiple departments and adapting to changing priorities in a fast-paced environment.

 

Physical Requirements

This role requires the ability to sit for extended periods, use a computer and phone, and communicate effectively with team members and stakeholders. Occasional standing, walking, or light lifting (up to 15–20 pounds) may be required.
