Roth Industries LLC is seeking a highly organized, professional, and dependable Bilingual HR & Executive Administrative Coordinator to join our team!
This is an excellent opportunity for an experienced administrative professional who enjoys supporting leadership while also playing an important role in Human Resources and office administration.
The ideal candidate has at least 3 years of administrative experience, strong organizational skills, excellent attention to detail, and the ability to communicate professionally in both English and Spanish. Experience supporting executives or senior leadership and exposure to HR processes are strongly preferred.
Provide administrative support to C-Suite executives and senior leadership
Manage calendars, meetings, appointments, and executive schedules
Coordinate internal and external meetings, agendas, and meeting materials
Arrange travel, accommodations, itineraries, and related logistics
Prepare, proofread, and format correspondence, reports, presentations, and spreadsheets
Assist with business communications in English and Spanish
Serve as a professional point of contact for employees, vendors, clients, visitors, and other stakeholders
Track communications, follow-ups, and action items
Maintain organized electronic and physical files
Assist with expense reports, invoices, purchase requests, and other documentation
Coordinate office meetings, employee events, and special projects
Proactively identify ways to improve organization, efficiency, and workflow
Handle confidential business and personnel information with discretion
Assist with day-to-day HR administrative activities
Support new hire onboarding and orientation
Assist Spanish-speaking employees with routine HR communications, forms, and processes
Support employee offboarding and related documentation
Maintain confidential personnel files and HR records
Assist with recruiting activities, including job postings, interview scheduling, candidate communication, and interview coordination
Communicate with English- and Spanish-speaking applicants and employees
Assist with offer letters, personnel changes, acknowledgments, and other HR documentation
Track employee documentation, training, certifications, and compliance records
Assist employees with routine HR questions and appropriately escalate more complex matters
Provide administrative support related to benefits, leave, payroll, and HRIS activities
Support employee engagement activities, training, meetings, and company events
Assist with company announcements, policies, procedures, and workplace communications
Provide routine verbal interpretation and written translation between English and Spanish when appropriate
3+ years of administrative, executive assistant, office administration, or related experience
Fluency in English and Spanish required
Previous experience supporting C-Suite executives or senior leadership strongly preferred
Previous HR experience or knowledge of HR processes preferred
High school diploma or equivalent required; Associate's or Bachelor's degree preferred
Experience handling confidential and sensitive information
Strong Microsoft Office skills, including Outlook, Word, Excel, PowerPoint, and Teams
Experience with HRIS, payroll, applicant tracking systems, or other business systems is a plus
Excellent written and verbal communication skills
